Administrative User Roles


Dialer organizations have three, tiered administrator roles. Each admin user role has different permissions and levels of access.


The highest-tier role is “Organization Owner,” followed by “Owner,” and then “Admin.”


This guide will explain the functions and permissions of each of these three roles, and the process for adding, promoting, and removing users from each.

NOTE: Scale to Win will automatically make the person who was designated as your organization’s “Primary Contact” on your Get Started form an Organization Owner for your dialer organization. 


That person can then invite and promote any additional personnel to be Organization Owners, as well. (More detailed instructions are contained later in this guide.)



 I. Overview of the Admin Role Tiers.


The following chart describes the actions which each admin user tier does and does not have access to perform in their dialer organization. Each will be described in more detail in the subsequent sections of this guide.

In summary, "Organization Owners” are the highest-tier user role and can create subaccounts, configure S3 and BigQuery data exports, and add and remove admin users of all tiers. Next, “Owners” can create and manage call campaigns, manage account-level settings, edit VAN integrations, and promote Admins. Lastly, “Admins” are the lowest permission tier and can only create and manage call campaigns and add new admins. They cannot edit settings.


Organization Owners, Owners, and Admins can all add new users to their own tier or any tier lower than their own, and can promote existing users of a lower tier into their own tier. Owners and Admins cannot remove users from their own tiers, but Organization Organizers can.


Furthermore, Organization Owners automatically have access to all of their dialer organization’s subaccounts. In contrast, Owners and Admins must be invited to each of the dialer organization’s subaccounts in order to have access to them. 


The rest of this guide will explain in more detail the actions that each of these admin roles has access to, as well as the process for adding, promoting, and removing users from each tier.



 II. Organization Owners.


Organization Owners are the highest-tier administrative user role for a dialer organization. Below is a description of each of the actions that Organization Owners have access to perform in their dialer organization.


 Permissions 


Create Subaccounts


Only Organization Owners can create subaccounts for their dialer organization.


To access this feature, Organization Owners should 1) click on the circular, human-shaped icon in the top right corner of their dialer admin interface, 2) select the “Organization Settings” option from the menu, and then 3) click the “Manage Subaccounts” tab on the left side of their interface.

Have Automatic Access to All Subaccounts of the Dialer Organization


Organization Owners automatically have access to all of their dialer organization’s subaccounts.


This means that, when an Organization Owner creates a new subaccount, they and all other Organization Owners for that dialer organization automatically have access to the new subaccount.


As such, these Organization Owners are automatically listed among the users on the subaccount’s “Admins” page, as shown in the example subaccount below.

(In contrast, Owners and Admins must be invited to each of the dialer organization’s subaccounts in order to have access to them.)


Organization Owners, Owners, and Admins with access to more than one subaccount can view the list of subaccounts to which they have access at a URL in the format organizationname.dialer.scaletowin.com/user/subaccounts. 


Manage Organization Settings


Only Organization Owners can access and manage the “Organization Settings” page, a menu that includes settings that apply to the entire dialer organization (including all its subaccounts). 


These settings include the ability to edit the name of the dialer organization.


To access this page, Organization Owners should 1) click on the circular, human-shaped icon in the top right corner of their dialer admin interface, 2) select the “Organization Settings” option from the menu, and then 3) click the “Organization Settings” tab on the left side of their interface.

Configure S3 & BigQuery Exports


Only Organization Owners are able to access the “Data Exports” page of their dialer organization. 


To access this page, Organization Owners should 1) click on the circular, human-shaped icon in the top right corner of their dialer admin interface, 2) select the “Organization Settings” option from the menu, and then 3) click the “Data Exports” tab on the left side of their interface.

The “Data Exports” page is where Organization Owners can configure automatic exports of their dialer organization’s calling data into their AWS S3 or GoogleCloud BigQuery account.

Note that these exports apply to the data from all subaccounts of the dialer organization.

Create and Manage Calling Campaigns


Like all other admin user tiers, Organization Owners can create and manage calling campaigns in their dialer organization and any of its subaccounts, via the “Campaigns” page.

Manage Account-Level Settings


Organization Owners (as well as Owners) can access and change the settings listed on the “Settings” pages of their dialer organization and its subaccounts.

These setting options include designating a default three-digit area code, default calling hours, and a callback forwarding number for the given dialer account, and more.


Add and Edit NGP VAN Integrations


Organization Owners (as well as Owners) can access the “Integrations” page of their dialer organization and its subaccounts.

On this page, they can add and edit NGP VAN integrations for a specific account or subaccount. (You can read more in our guide about setting up an NGP VAN integration with the dialer.)


 How to Add Organization Owners.


Initial Setup by Scale to Win


Scale to Win will automatically make the person who was designated as your organization’s “Primary Contact” on your Get Started form when you signed up with Scale to Win an Organization Owner for your dialer organization. 


That person can then invite any additional personnel to join your dialer organization as an Owner or Admin. Once those personnel have accepted their invitations and created their Owner or Admin accounts, the Organization Owner can then promote any of them to be an Organization Owner, as well. 


Organization Owners Can Promote Owners & Admins to Organization Owners


As mentioned, Organization Owners can promote any existing Owner or Admin of their dialer organization or one of its subaccounts to become an Organization Owner at any time.


To do so, Organization Owners should 1) click on the circular, human-shaped icon in the top right corner of their dialer admin interface, 2) select the “Organization Settings” option from the menu, and then 3) click the “Organizations Owners” tab on the left side of their interface.

Once on that page, they should click the “+ Add Organization Owner” button.

A form will appear containing a dropdown menu listing all of the Owners and Admins for this dialer organization and its subaccounts. The Organization Owner should select which person they want to promote, then click “Save.” That person will automatically be made an Organization Owner and their name will appear on the list of Organization Owners on this page.

 How to Remove Organization Owners.


Only Organization Owners can remove other Organization Owners from a dialer organization. 


To do so, they should 1) click on the circular, human-shaped icon in the top right corner of their dialer admin interface, 2) select the “Organization Settings” option from the menu, and then 3) click the “Organizations Owners” tab on the left side of their interface.

Once on that page, they should find the Organization Owner on the list who they would like to remove. They should click the button shaped like a minus sign, which says “Remove Organization Owner.”

Once they click that button, an alert box will appear where they can confirm this action. It will give them the option to also deactivate this Organization Owner’s account on all subaccounts of this dialer organization.

If they toggle this option off and choose not to deactivate this Organization Owner’s account on all subaccounts (as shown below), please be aware that this person will retain the role of “Owner” on all of the subaccounts of this dialer organization.

Once they click “Save,” the person is removed as an Organization Owner.



 III. Owners.


Owners are the middle administrative user tier. They can create and manage call campaigns, manage account-level settings, add and edit VAN integrations, add new Owners, and add, promote, and remove Admins.

Create and Manage Calling Campaigns


Like all other admin user tiers, Owners can create and manage calling campaigns in their dialer organization (and any of its subaccounts to which they’ve been granted access), via the “Campaigns” page.

 How to Add Owners.


Both Owners and Organization Owners have the ability to add new Owners to a dialer organization and/or its subaccounts. There are two options for doing so.


The first option is to invite someone to become an Owner who is not already an admin user for this account or subaccount. To do this, the Owner or Organization Owner should navigate to the “Admins” page on a given account or subaccount and click the “+ Invite Admin” button.

A form will appear. They should fill in the new prospective Owner’s name and email address.

Then, they should select from the “Role” dropdown menu whether they want to add this new person as an Owner or Admin. Once they click “Send Invite,” this person will receive an invitation in their email inbox to join this dialer organization or subaccount as an Owner.

The second option for adding a new Owner is to promote an existing Admin to this role.


The Owner or Organization Owner should go to the “Admins” page of their dialer organization or one of its subaccounts. They should click the pencil-shaped button on the row of the existing Admin who they’d like to promote.

Once they click this button, a form will appear where they should specify which role (Owner or Admin) they want to promote this Admin to. Once they click “Change Role,” the change is made immediately.

 How to Demote Owners.


Only Organization Owners can demote Owners to the role of Admin.


To do so, they should go to the “Admins” page of their dialer organization or one of its subaccounts. They should click the pencil-shaped button on the row of the Owner who they’d like to demote.
