The keyword autoresponder feature allows you to set up custom automated responses to contacts when they reply with the specific keywords of your choosing. For example, if you send a text blast to potential volunteers with an ask to “Reply ‘VOLUNTEER’ to get involved”, your contacts would be automatically sent a sign-up link immediately after replying “VOLUNTEER”.

Please Note: The keyword must be an exact match to work. The autoresponder will not send if the contact misspelled the keyword or added extra words. The way to solve for this is to include frequent misspellings of your keyword,  or the keyword with punctuation (like “volunteer!”) to the script as well.

How to Set Up Keyword Autoresponders
There are two ways to set up keyword autoresponders in Scale to Win Text:
1. At the Account Level - This way will ensure you can import your keywords to any campaign(s) of your choosing, rather than only being available in one single campaign.
2. At the Campaign Level - This will only apply to a single campaign, and will not be available to import into other campaigns within the account. However, any copy of this campaign will include the keyword autoresponder.

Enable keyword autoresponders at the Account Level
Navigate to the left-hand menu and click Response Scripts

Then click the blue + Add response button and fill out the information in the required fields. Scroll to the bottom and click the + Add a Keyword button at the bottom to create a keyword trigger for this response.

You can also add a keyword to your existing responses within any created campaign by editing the response and then clicking the + Add a Keyword button at the bottom.

Now that the keyword has been set up in a response script at the account level you can begin building your campaign. Keep in mind that you will need to include a prompt for your keyword response in the Initial Message of your campaign. Then click Continue to move on to the Response Scripts step.

If you haven’t already toggled on the option to include a response group in all future campaigns, you’ll need to import this response script into your campaign to enable it.

Click on the blue + Import Responses button in step 7 of building your campaign.

Check the box next to your selected response script and click Import. You will see this response script has a keyword associated with it because it includes Keywords: “VOLUNTEER” within the script.

Enable keyword autoresponders at the Campaign Level
On the Response Scripts step (7) of building your campaign click on the blue + Add Response button on the top right.

After filling out the information in the required fields, scroll to the bottom and click the + Add a Keyword button to create a keyword trigger for this response.

Click the blue Add button to add this keyword to your campaign.

Remember that you will first need to include a prompt for this response in the Initial Message stage of your campaign.

Please Note: You can have multiple keywords that vary by campaign. For example, VOLUNTEER in Campaign A could return one volunteer event RSVP link, while in Campaign B, it could return another.

Managing Replies
You can view and manage the replies from the Threads page. Here you can see the contact’s reply triggered the autoresponse.

How can keyword autoresponders help your organization?

  1. Efficiency and capacity management: Streamline your team’s workflow by letting the autoresponder handle repetitive or simple responses, freeing up texters to focus on more complex or personalized interactions.

  2. Consistency and speed: The quick response can ensure recipients receive timely information, which is particularly critical during high-volume times.

  3. Flexibility: Keyword autoresponders can be used with any type of phone number (registered/10DLC, toll-free, short code), making it easy to manage your texting programs all in Scale to Win Text.

  4. Customizable flows to continue the conversation: You can create a flow of communication that guides recipients through specific actions.

  5. Some examples:

Volunteer ask

  • “Reply SUPPORT if you support candidate X. Txt stop to opt out.”

  • If the recipient replies with “SUPPORT”,

  • “Thanks for being a supporter! Reply VOLUNTEER to learn more about volunteering opportunities.”

Vote tripler

  • “Make your voice heard! It's Election Day! Txt stop to opt out. Reply VOTER if you've voted already.”

  • If the recipient replies with VOTER

  • “Incredible! This election is too important for us to leave the votes of our friends and family on the table. Can we count on you to ask 3 friends and family members to be voters? Reply TRIPLE if yes!
