You can invite new users at either the Subaccount level or Organization level. Admins, Supervolunteers, and Texters are at the subaccount-level, while Organization Owners have access to all subaccounts.
Adding Users
Subaccount Level
Only Organization Owners and Admins can add users to the subaccount. To add users at the Subaccount level:
Click on the People tab on the left-hand menu.
Click the blue + Invite User button.
In the pop-up window, enter the full name and email address, and select the user’s role from the dropdown menu. Once the information is filled in, click Send Invite to invite the user to join your account.
Note: Only Texters, Supervolunteers, and Admins can be added to a subaccount via the Subaccount People page. Organization Owners must be invited from Organization Settings.
Organization Level
To add users at the Organization level, you must be an Organization Owner.
Click your initial in the upper right-hand corner and select Organization Settings.
The Organization People page will appear in the left-hand menu.
Click the People tab, then click the blue + Invite User button.
Enter all the information in the pop-up window that appears.
Removing Users
Subaccount Level
Only Organization Owners and Admins have permission to remove users on the subaccount. To remove users at the Subaccount level:
Click on the People tab on the left-hand menu.
Navigate to the user you wish to remove and click on the trash can icon to the right of their current role.
A pop-up window will appear prompting you to confirm deactivation of the user, click OK.
Note: If you do not see the user you wish to remove listed under the Active status, try changing the “User Status” to Invited.
Organization Level
Only Organization Owners have permission to remove other Organization Owners. To do this:
Navigate to your Organization Settings.
Click on the People tab in the right-hand menu.
Navigate to the user you wish to remove and click on the trash can icon to the right of their current role.
A pop-up window will appear prompting you to confirm deactivation of the user, click OK.
Promote or Demote A Current User
Organization Owner
Only Organization Owners and Admins can promote a current user to Organization Owner status.
Go to Organization Settings and click the People tab on the left-hand menu.
Find the user you wish to promote.
Click on the trash can icon to the right of their name and role. This will remove them from their current role.
Then, click the blue + Invite User button and re-invite that contact as an Organization Owner.
Texters, Supervolunteers, and Admins
Only an Organization Owner or Admin can change the user level of a Texter, Supervolunteer, or Admin.
Click the People tab on the left-hand menu.
Find the user whose permission level you want to change.
Click on the pencil icon to the right of their name and role.
From the drop-down menu, select the desired user level.
Click the blue Update button to save the changes.
Permissions
Organization Owner:
Organization Owners are the highest user level in Scale to Win Text. They can only be invited to an account by other Organization Owners via Organization Settings on the People page. Organization Owners have the following permissions:
Access to Organization Settings
Access to all subaccounts within their account
Ability to create new subaccounts
Access the Domain Names page to request shortlinks
Ability to configure BigQuery and S3 Exports
Access the Pricing page to see the account pricing
Upload opt-out lists that will apply to all subaccounts, as well as search and reverse opt-outs in all subaccounts
View usage across all subaccounts
Add other Organization Owners
Update redirect URLs for provisioned domains
Plus all abilities at the Admin and Supervolunteer levels
View Analytics across subaccounts
Admins (Subaccount Level Users):
Admins are invited at the subaccount level and have the following permissions:
Create and edit campaigns
Start and send campaigns
Upload permanent and temporary opt-out lists at the subaccount level
Search and reverse subaccount opt-outs
View subaccount-level usage
View and update subaccount settings
Invite users to join the subaccount at their level or lower
Edit Phone Number display names
Add and opt-out subscribers from the shortcode page
Create opt-in keywords and automatic messages for your shortcode
Access the Phone Numbers page to register for phone numbers or add new 10DLC phone numbers to the subaccount
Set up integrations in subaccounts, such as VAN and ActBlue
Access the Threads page and switch to Texter View
Supervolunteers (Subaccount Level Users):
Supervolunteers are invited at the subaccount level and have the following permissions:
View all threads associated with that subaccount from Threads
Send messages and apply tags
Opt out contacts and mark threads as “Not Needing Response”
Add conversation notes
Reverse opt-outs from Threads
Access the Texter View from the lefthand side menu
Note: Supervolunteers can see the names of your campaigns and Texters within the subaccount, along with all associated data for contacts mapped within campaigns. This includes a contact's opt-out status and who opted them out.
Texters (Subaccount Level Users):
Texters are invited at the subaccount level. Once a Texter creates an account, they can only access conversations via a Texter Link for a specific campaign. Texters will see this page for each campaign they’ve been invited to text in through the Texter Link.
Permissions include:
Request threads associated with individual campaigns via the invitation link
Claim replies in a campaign, send messages, and apply Tags
Opt out contacts and mark threads as “Not Needing Response”
Add Conversation Notes
Note: Texters can see the names of your campaigns and any custom data fields included in your initial message and Response Scripts.
